Group Permissions on Folder and Report Filter

Comments

  • Hello All,

I seem to be a bit confused on setting up group permissions for a folder. I found documentation from the site that I used to help set up an example, but the folders can still be accessed by users outside of the group. Is there something I’m missing? Also, is there a way to create a report that filters a group of folders by the permissions a user’s group has on it? I thought about using the “Rule Filter” option and creating a Rule that can sort the report for me, but I havent set it up yet. Is this possible?

  • Hi Sam,

For your first question, there may have been a step or two that was missed when configuring the permissions for the folder. If we want to limit what groups have access to a folder, and these folders are nested in a parent folder, then we would need to disable permission inheritance. This prevents the parent’s folder permissions from extending down to the subfolders. Permission Inheritance can be disabled by right clicking the folder -> Manage -> “Disable Permission Inheritance” action.

Afterwards, we can set the folder to only be accessed by specific groups. This can be done by right clicking the folder -> Manage -> Manage Permissions. We can then set individual account permissions for the folder, or set them for specific groups.

Once the permissions are setup correctly for the folders, we can test using an account that belongs to the group. Note: if we want to view the folder in the “Studio” portal, we would also need to add the account to the default “Designers” group in Decisions. Also, if the account is part of the “Administrators” group, then the permissions for a folder will be ignored.

For report filtering, it is not recommended to use the “Rule Filter” option due to performance. The rule would be evaluated for each row at runtime, which can cause slowness depending on how large the data for the report will be. Instead, there are out of the box filters that we can. In this case, the “Respect Permissions” filter should work for what is being attempted.

    With the Report Designer open:
[ul][li]Search for the “Respect Permissions” under the filter heading
[/li][li]Configure the filter to use the correct permissions
    [/li][/ul]
