Hide Default Change State Action

I have created a Case Entity and it automatically has an action called Change State. I do not want anyone besides Admins of the project to be able to change the State manually. How do I prevent all other users from triggering this action?

  • Hello,

The most straightforward way to accomplish this is to have a Group that only the Project admins are in and use an Action Visibility Rule in your Case Configuration folder to hide the Change State action for anyone not in that group. https://documentation.decisions.com/v9/docs/action-visibility-rules

I have created an example project to show this. To test simply run the Create Data flow and look for the Case in the Data folder. If you right click the Case it will not have the Change State action. If you click into the case you will also not see Change Action in the top bar of the page.

I have added a Group to the project called ProjAdmin. If you add your account to that Group you will then be able to see Change State on the created Case.

Please note this rule only impacts Case Entities of the type you added this Rule to the Configuration folder for. Also, you want to write the rule logic from the perspective that evaluating True means the target action will get filtered out.
